Courses - procedure after arrival

Applicable for all exchange students of UGent following courses at the Faculty of Political and Social Sciences

Schedule after arrival incoming exchange students

  1. Check your courses in your timetable. 
    • Do you have a time table conflict? Are the courses you mentioned in your learning agreement still available? 
  2. Change your courses if necessary, taking the course selection guidelines into consideration.
    • During the Faculty Welcome moment you will receive practical information on finalizing your course selection and managing your curriculum in Oasis
  3. Ask an approval for all your courses (from each lecturer). 
    • fill in the “Approval of lecturer” document for each course in your curriculum (except for courses at University Language Center)
    • contact the lecturer (by e-mail, or in person before or after class)
    • discuss and get the approval - document signed by lecturer in person or via email
    • make a pdf / scan from all your approval documents or approvals via email in one document
    • during the first week of the semester you can attend classes without having an approval of lecturer yet. 
  4. Fill out your Learning Agreement changes/during the mobility (only necessary if you add or delete courses after your arrival)
    • go to OASIS > your exchange application > documents and download your changes/during the mobility document. Or use the sample document (download it) from this website.
    • sign it, have it signed by your home university.
  5. Upload the requested documents in OASIS, submit your curriculum and inform RIO.

    • Learning Agreement changes/during mobility: exchange application - tab documents - "Learning agreement changes"
  6. RIO checks your file. If your file is OK:
    • RIO signs the Learning Agreement changes/during mobility
    • RIO uploads the Learning Agreement signed by the 3 parties in OASIS
    • RIO approves your curriculum

Deadline uploading Learning Agreement changes/during the mobility and approvals of the lecturer :

  • Semester 1: 20 October
  • Semester 2: 28 February

    Online Platforms (Ufora - Oasis - Athena)

    Students at Ghent University need to be able to handle multiple online platforms.  

    Time schedules

    • Check the study guide of UGent for a general course schedule of the English taught courses at our faculty (Programme summary > "course schedule 1st semester" or "course schedule 2nd semester" on the right side)
    • Find your personal schedule in OASIS (after enrollment)
    • Schedules from the different study fields are NOT harmonized with each other and can change at the beginning of the semester. You might have to change your courses at the beginning of the semester due to timetable conflicts.


    • Schedules can be found in oasis (after the start of the semester)
    • The Flemish academic grading system is based on a mark between 0 and 20. A mark less than 10 means ‘fail’ (= ECTS grades F and FX). More info about the grading system at UGent
    • You are automatically registered for examinations.
    • If you need study guidance, contact our students counsellors (Monitoring Services or ‘Monitoraat’ in Dutch) 
    • If you didn’t perform well (several failures) you might be invited for an evaluation talk or/and we might report on your academic performances to your home university.


    • If you fail your examination, you can take a re-examination during the second examination period (end of August, beginning of September). It is not necessary to contact the lecturer separately to make arrangements regarding your re-examinations, except in special circumstances.
    • Your UGent account and student card are valid until the end of the re-examination period so you don't need to prolong your stay for re-examinations. (Prolongation only necessary if you need UGent housing for the resit period).
    • Schedules for re-examinations are available in Oasis (click on “my calender”) from July onwards or earlier.
    • You can contact the lecturer or teaching assistants to get feedback on your exams of the first session (after the examination period).
    • You are automatically registered for resit examinations. If you do not want to take part in these resit examinations (for one or more of your courses), you can opt-out via OASIS.
      • How to opt-out for resits:
        ∙    Go to Oasis.UGent.be and log in with your UGent account
        ∙    Click on ‘My calendar’ on the left side
        ∙    Click on ‘Deelname aan tweedekansexamens’ (resit examination attendance)
        ∙    In the course overview, tick the resits you will not take

    • Transcript of records after resit: If you do not attend the re-examination after a failure in exam session one, the transcript of records of the re-examination period will not repeat the grades of session one but will mention absent.
    • It is not possible to participate in resit exams for courses you succeeded during exam session one.
